All services, concepts, quotations, event deliverables, timelines, and execution plans are subject to discussion, approval, availability, and contractual agreement between both parties.
We reserve the right to refuse or discontinue services for projects involving unlawful, offensive, unsafe, discriminatory, or unethical activities.
Quotations & Pricing
All quotations shared by Nexa Experiential Solutions are based on the information available at the time of estimation.
Pricing may vary due to:
- Venue changes
- Vendor availability
- Government regulations
- Tax revisions
- Material cost fluctuations
- Last-minute modifications
- Additional requirements
- Technical or operational changes
Quotes are valid only for the specified duration mentioned in the proposal or invoice.
Booking Confirmation
Bookings are considered confirmed only after:
- Written approval from the client
- Advance payment or booking amount confirmation
- Agreement on project scope and deliverables
Nexa Experiential Solutions reserves the right to reject or cancel tentative bookings that remain unpaid beyond the specified period.
Payment Terms
Clients agree to complete payments according to the agreed payment schedule.
Payments may include:

- Final settlement before or immediately after event completion
Delayed payments may result in:

- Event suspension
- Vendor withholding

All applicable taxes, transaction fees, government levies, and third-party charges shall be borne by the client unless otherwise agreed in writing.
Cancellation & Refund Policy
Event planning and production involve advance commitments with vendors, venues, artists, logistics providers, and operational teams.
Cancellation requests must be communicated in writing.
Refund eligibility, if any, will depend on:
- Stage of project execution
- Vendor commitments already made
- Non-recoverable operational expenses
- Production status
- Booking timelines
Advance payments, blocking amounts, consultation fees, artist fees, logistics charges, and customized production costs may be non-refundable.
Nexa Experiential Solutions reserves the right to deduct operational, administrative, and vendor-related expenses before processing any eligible refund.
Rescheduling Policy
Event rescheduling requests are subject to:

Client Responsibilities
Clients are responsible for:

- Making payments as agreed
- Maintaining lawful conduct during events
Clients shall be liable for damages caused by guests, attendees, employees, representatives, or vendors arranged independently by the client.
Vendor & Third-Party Services
Nexa Experiential Solutions may coordinate with third-party vendors including decorators, artists, caterers, venues, technicians, entertainers, transport providers, and production teams.
While we strive to ensure service quality, we are not directly liable for:
- Independent vendor delays
- Third-party negligence
- External operational failures
- Venue restrictions
- Artist cancellations beyond reasonable control
- Supplier shortages
- Government restrictions
Vendor services remain subject to their own operational policies and limitations.
Event Execution Limitations
Event execution may be affected by circumstances beyond reasonable control, including:
- Weather conditions
- Government restrictions
- Technical failures
- Venue limitations
- Power outages
- Public emergencies
- Natural disasters
- Traffic conditions
- Force majeure events

Photography & Videography Rights
Events managed by Nexa Experiential Solutions may be photographed or recorded for promotional, branding, marketing, portfolio, and social media purposes.
By participating in events organized or managed by us, attendees and clients acknowledge and consent to possible appearance in event media content unless otherwise agreed in writing before the event.
Intellectual Property
All creative concepts, designs, branding materials, event strategies, presentations, marketing content, graphics, videos, website content, and business materials created by Nexa Experiential Solutions remain the intellectual property of the company unless otherwise agreed in writing.
Unauthorized copying, resale, reproduction, distribution, or commercial use of our materials is strictly prohibited.
Website Usage
Users agree not to:
